Home --- careers --- Senior Proposal Coordinator - Northern or Southern California Senior Proposal Coordinator - Northern or Southern California HELIX is seeking an experienced Senior Proposal Coordinator to join our Marketing & Communications team in California. This position offers flexibility with working from home and/or being based at one of the HELIX offices in either San Diego County (La Mesa or Carlsbad), Orange County (Irvine), Sacramento County (Folsom), or Placer County (Roseville). The ideal candidate will be an organized self-starter with a strong work ethic, and the ability to thrive in a fast-paced, deadline driven environment, along with a desire to grow into a management position over time. They will have superior writing skills, experience coordinating pursuit teams, and a resourceful, efficient, friendly, and helpful approach. Duties may include: The Senior Proposal Coordinator will be a part of the Marketing & Communications team and will report directly to the Director of Marketing & Communications. The Senior Proposal Coordinator will be responsible for coordinating and guiding pursuit teams, and developing and producing competitive, client-focused, and persuasive written proposals for a variety of market sectors and all of HELIX's services. This position requires superior writing and editing skills (technical writing experience a plus), strong interpersonal and project management skills, coordination of a variety of staff across the organization, the ability to work independently and coordinate cross-functional teams, and the management of multiple concurrent deadlines. The Senior Proposal Coordinator, working with the Director of Marketing & Communications, Proposal/Marketing Manager, other marketing coordinators, and the firm's technical staff, will:

• Coordinate each phase of the proposal development process, supporting all of HELIX's services and sectors
• Analyze Requests for Proposals (RFPs) / Requests for Qualifications (RFQs) and identify requirements
• Serve as a marketing project manager for proposal efforts to initiate kick-off meetings, develop and manage proposal schedules and milestones, and coordinate and guide proposal contributors including subconsultants throughout the process
• Develop proposal templates and write non-technical sections of proposals to include cover letters, firm capabilities, project descriptions, staff resumes, and other marketing and qualifications information
• Gather content from a variety of writers and sources, and edit to produce persuasive copy with a consistent voice and tone
• Format and edit all sections (including technical content) to produce a complete and responsive proposal document and ensure accuracy, quality, and compliance with all RFP/RFQ requirements and HELIX's brand standards
• Work with Graphics/Production Manager to develop supporting materials including covers, tabs, CDs, charts, and graphics and oversee production/quality assurance of final documents
• Manage submission of proposal materials, track pursuit award progress, conduct award debriefs, and capture and track marketing data in CRM database
• Lead pursuit teams throughout the interview process to provide guidance, coaching, and presentation preparation support.
• Participate in the business development team meetings.
• 3+ years of related and proven professional experience (RFP/RFQ evaluation, proposal development, proposal writing, and proposal coordination)
• Superior writing, editing, and grammar skills, with knowledge of common writing styles and experience in messaging for proposals to create persuasive copy
• Experience collaborating with senior management on strategic pursuits
• Advanced skills in MS Word and Adobe Acrobat, and high proficiency in MS Excel and MS PowerPoint
• Must be a proactive self-starter who enjoys helping others, with outstanding interpersonal, verbal, and written communication skills
• Must be detail-oriented and must have superior time-management and organizational skills Additional Skills Considered a Plus:
  • 4-year college degree in Marketing, Communications, English, or a related field
  • Proposal preparation experience in the A/E/C industry, specifically for an environmental consulting firm
  • Capture planning experience
  • Customer Relationship Management (CRM) experience, especially Deltek Vision/VantagePoint
